These tools overlap in AI analysis, but the output you need should decide the shortlist. A list of votes, a sourced research insight and a prioritized specification serve different purposes.
For a small team, the important test is whether an AI summary preserves enough evidence to support a decision. A tidy theme can conceal disagreement between customers or combine requests that would require different solutions.
Canny: feedback capture and customer-visible updates

Best fit: Consider Dovetail when the primary work involves calls, documents and surveys, rather than operating a public voting board.
Capabilities: The Free plan includes one feedback channel and one research project, with AI chat and summaries within a single project. Enterprise adds advanced AI features, organization features such as folders and global tags, unlimited projects and channels, and shareable insights using customer clips and reels. Dovetail plans.
Limits: The one-project, one-channel allowance may constrain a team running several research streams. Do not assume every integration or advanced AI workflow is available on Free. Dovetail plans.

Separate repeated demand from repeated messages
Before choosing a tool, decide what counts as an independent signal. One customer may repeat a problem through support, a sales call and a survey. Counting all three as separate buyers can distort priorities. Conversely, two similar phrases can describe different problems, such as an administrator needing access controls and an end user needing fewer login steps.
Preserve the original message, customer identity where appropriate, date and context. Record whether the customer described an observed problem or requested a specific solution. Keep conflicting evidence attached to the theme instead of smoothing it into a single confident summary.
Use frequency as one input. A request from an unqualified prospect, a recurring obstacle for paying accounts and a serious accessibility issue need different treatment. Define those distinctions before asking AI to rank the backlog. Do not ask a summary model to invent business priorities from message volume alone.
A pilot that tests evidence, corrections and cost
Build one small, permission-appropriate sample that includes support messages, interview excerpts, requests and conflicting opinions. Use the same sample for each candidate. The following checks are proposed evaluation methods, not results from testing these vendors.
- Trace a theme. Open the source evidence behind each summary. Check whether quotations, account context and dates survive import.
- Seed difficult pairs. Include identical requests from one customer and similarly worded requests with different meanings. Correct a mistaken merge and inspect whether the original evidence remains recoverable.
- Test a contradiction. Give the tool positive and negative feedback about the same feature. The output should preserve disagreement rather than claim consensus.
- Finish the handoff. Take one finding to the artifact your team uses, such as a board update, research brief or product specification. Count copying and cleanup work.
- Reprice the import. Estimate the tracked users, collaboration requirements or AI credits consumed after historical data is loaded, then ask for the next threshold in writing.
Pick the workflow that lets a teammate challenge a recommendation by opening the customer evidence. If importing more messages makes summaries harder to verify, adding more AI analysis is unlikely to solve the underlying organization problem.
